Sicotronic Sverige: A company agent for offer proposals.
Together with Sicotronic Sverige, we built a company agent that retains process knowledge and prepares proposals while CEO Fredrik and his team focus on their customers.
Customer case · Sicotronic Sverige AB
Before: Fredrik prepared every proposal
Each request arrived with a new mix of files and drawings. Fredrik had to turn them into an appropriate system for the facility, power-reduction calculations, and connected proposal documents.
Now: With the agent
Now, Fredrik just forwards the request to the agent via email. It reads the material and prepares the calculations and proposal for his review. The technical decisions stay with him.
“When a new project request comes in, it helps me respond quickly and accurately.”
Before: Expert time spent on paperwork
Sicotronic Sverige integrates control systems into commercial kitchens to reduce peak current demand and ease pressure on the electrical grid. Preparing a proposal means turning equipment data into an appropriate system for the facility, power-reduction calculations, and connected proposal documents.
The work depended on Fredrik’s expert knowledge. Before he could make the technical decisions, he also had to complete the paperwork for every new request.
The process: We start with how Fredrik works
The goal was to clearly identify the required data, the software used, and the technical decisions we needed to teach the agent to make.
Give the agent the knowledge and tools for the job.
The agent has its own email, workspace, and role-based access to existing systems, just like a co-worker. Its workspace brings together the company knowledge needed to prepare a project, secure Google Drive integration, research tools, and the ability to work with PDF, Word, and Excel files.
Instead of requiring Fredrik to rebuild his job around yet another tool, the agent integrates into his existing workflows. It helps where needed without disrupting the process.
Now: Forward the proposal request, then review the agent’s work
Now, Fredrik forwards each incoming request to the agent’s secure email address. For more detailed work, he can use the chat interface to ask deeper questions about the system or refine an offer.
The system improves itself: when Fredrik corrects an output, the agent records the lesson for future projects. This retains useful company knowledge while keeping him involved in the decisions that need his expertise.
“The knowledge stays in the company instead of disappearing when someone leaves. When a new colleague starts, they already have something useful to work with, so I do not have to teach everything again.”
