From a newsletter brief to a draft in Brevo.

A shared agent prepares course newsletters in the customer’s tone of voice, directly in Brevo. The team makes the final adjustments and sends.

The starting point

For a large Swedish education company, every newsletter meant the same time-consuming preparation: gathering course details, finding images and assembling the email in Brevo.

With the agent

The team gives its shared agent a brief. It prepares the newsletter in Brevo with course content, images, design and recipient lists. People make the final adjustments and send; the agent has no sending access.

Newsletter preparation took too long.

Newsletter preparation took too long, and the work was much the same every time. For a large education company in Sweden, newsletters were central to promoting and selling courses. Every send meant another round of collecting course details, finding images and assembling the email.

We developed a standalone agent together with the customer, tailored to that process and available to the whole team. A marketing colleague describes the newsletter they have in mind. The agent takes care of the preparation in Brevo, the software they already use.

Built around their team and their tone of voice.

This was custom software developed with the people doing the work. We configured the agent for the company’s tone of voice and the way the marketing team prepares newsletters.

The starting point is the marketing person’s instructions: what they want to promote and what the newsletter should do. The shared agent turns that brief into a draft the team can finish.

Courses, images, design and audiences in one flow.

The agent fetches the relevant courses from the company’s website and brings in the right course images. It selects suitable existing design drafts in Brevo, adapts them and builds the newsletter.

It also preselects recipient lists using the company’s rules and past behaviour. The content and audience preparation happen together, so the team has a more complete draft to check.

Permission to prepare. No permission to send.

The Brevo integration restricts what the agent can do. Sending newsletters and other destructive operations are excluded from its available actions. That boundary is enforced through the integration.

The team reviews the content and audience selection, makes adjustments and handles the send. The agent prepares the work; it cannot publish a newsletter on its own.

Come back to a draft, instead of doing every step.

The marketing colleague can enter an idea, leave the agent to work and return roughly half an hour to an hour later to make corrections. That is time they can spend on something else while the draft is prepared.

The customer has freed up substantial time on a recurring task people used to dread. The work now starts with an idea and continues with a draft to refine, instead of another manual round of the same preparation.
